Information we collect

When you submit a request, we collect: your name, email address, phone number, country and state, your preferred session time, the service selected, document count, destination country (for apostille orders), and any notes you include. Form submissions are transmitted by Web3Forms, our form processor. Payment is collected by invoice and processed by Stripe — we never see or store your full card number.

Notarization session data

Online notarization is performed under Florida law, which requires identity verification (credential analysis and knowledge-based authentication) and an audio-video recording of every session. Verification and recording are performed on our notarization platform, and Florida law requires these recordings and the electronic journal to be retained for ten years. This retention is a legal obligation of the notarial act and cannot be waived or deleted on request.

How we use your information

To schedule and perform your notarization, prepare and file your apostille application with the Florida Department of State, arrange delivery, invoice you, respond to your questions, and meet our legal obligations as a notarial and document service. We do not sell your personal information.

Who we share it with

Only the providers necessary to fulfill your order: our remote notarization platform (identity verification and session recording), Stripe (payments), Web3Forms (form delivery), shipping carriers (delivery and tracking), and the Florida Department of State (your apostille filing). Each receives only what its role requires.

Retention

Order records are kept for seven years for tax and business-record purposes. Notarization recordings and journal entries are kept for ten years as required by Florida law. Analytics data is standard and minimal — IP address, browser type, pages visited — and is not tied to your identity.

Your rights

You may request access to, correction of, or deletion of your personal information at any time by emailing support@apostillenotary.org, subject to the legal retention obligations above. We may update this policy; the date at the top reflects the latest revision, and continued use after changes are posted constitutes acceptance.

Frequently Asked Questions

Can you delete my notarization session recording?

No — Florida law requires online notarization recordings and journal entries to be retained for ten years. Order records outside the notarial record can be deleted on request after our seven-year business-record period.

Do I need to mail you anything?

No. You upload your document and sign in a live online session. We handle the printing, certification, and Florida Department of State filing on our end — the only physical shipment is the finished apostilled package delivered to you.

What exactly do I receive at the end?

A tracked package containing your notarized document with the official Florida apostille certificate attached by the Department of State — security paper, gold embossed seal, unique verification number — plus the digitally sealed PDF from your session for your records.

Is online notarization legal?

Yes. Remote online notarization is authorized by Florida Statutes Chapter 117, Part II, is recognized across the US, and the Florida Department of State accepts remotely notarized documents for apostille.

Can you ship the finished package abroad?

Yes — the worldwide delivery option sends the apostilled package by express international courier directly to any Hague Convention country, fully tracked, typically arriving in 2–5 business days after the apostille is issued.

How long does the whole process take?

Typically 7–10 business days door to door: your notary session within about a day of confirming, roughly five business days of Florida Department of State processing, then tracked delivery.

Does an apostille expire?

The apostille certificate itself has no expiration date. Some receiving authorities, however, want the underlying document to be recent — commonly within 3–6 months for civil-status documents — so check your receiver's freshness requirement, not the apostille's.
